The Challenge
The client runs both international trade transactions and commission-based/manufacturer representation activity, and needed multi-currency support, proper trade documentation, supplier procurement, and clean separate reporting for two very different revenue streams — all while staying inside the standard Zoho Books accounting structure rather than bolting on a separate system.
What We Built
We configured multi-currency handling, export-specific transaction requirements, and dedicated numbering sequences per transaction type, then built a structured item setup carrying HS Codes, Country of Origin, Incoterms®, and net/gross weight for every trade item. A full document workflow — Quotation → Proforma Invoice → Commercial Invoice → Packing List — keeps references and pricing consistent as a deal moves forward. A back-to-back supplier procurement workflow generates supplier-side purchases from accepted customer documents without ever exposing customer pricing upstream. Commission and representation activity was split into its own workflow entirely — separate templates, custom fields, and numbering — with the chart of accounts restructured so trade and commission revenue report separately. We layered in governance controls (edit restrictions on sent documents, accounting period locks, protected templates) and dashboards covering open transactions, pending documents, and commission summaries, then tested the full flow end to end.
The Result
A single Zoho Books environment now runs both trade and commission activity with multi-currency support, consistent trade documentation, a protected procurement chain, clean revenue separation, added governance controls, and real operational visibility into transactions in flight — all inside the platform the client already owned.
