"How much does automation cost?" is one of the first questions every prospective client asks — and it's a fair one. Here's a transparent answer based on the range of projects we actually deliver.
The variables that actually move the price
Before any numbers, understand what drives cost up or down:
- Number of systems connected. A workflow that touches one app is simple. A workflow that syncs a CRM, an accounting tool, and a support desk requires handling three different APIs, data formats, and failure modes.
- Custom logic vs. off-the-shelf connectors. Standard triggers (new form submission → send email) are cheap. Conditional business logic, approval chains, and AI-driven decision-making cost more because they require custom development, not just configuration.
- Data volume and reliability requirements. A workflow that runs occasionally and can tolerate a manual retry is cheaper to build than one processing thousands of transactions a day where a silent failure means lost revenue.
- Ongoing maintenance. Automation isn't "build once, forget forever." APIs change, business rules evolve, and edge cases surface. Budget for ongoing support, not just the initial build.
Rough project categories
Simple workflow automation (a single trigger-to-action workflow, minimal custom logic): the fastest and least expensive category — often delivered in days, not weeks.
CRM or platform implementation (Zoho, Salesforce, or Microsoft 365 setup with custom workflows): a multi-week engagement, priced on scope of modules and workflows configured, not a flat rate.
AI chatbot or document automation: cost depends heavily on scope — a narrow FAQ bot is inexpensive; a chatbot that takes actions across multiple systems, or OCR pipelines processing complex documents, cost significantly more.
Custom API / integration development (Go or .NET backend, connecting systems with no existing integration): typically the most expensive category because it's genuine software engineering, not configuration — but it's also usually the highest-leverage automation, since it unlocks things no off-the-shelf tool can do.
The real cost of not automating
The number that rarely gets discussed is the cost of the status quo. If two people spend five hours a week on manual data entry between systems, that's roughly 500 hours a year — before counting the errors that manual re-entry introduces. Most automation projects that address a genuine bottleneck pay for themselves within a few months, not years.
How to budget realistically
Start with the workflow costing you the most manual hours or the most errors today, get a fixed-scope quote for that single piece, and prove the ROI before expanding. That's a far lower-risk path than commissioning a sprawling "automate everything" project upfront — and it's the approach almost every client we work with ends up better off for.
